Google released Gmail Offline a while back, a Chrome app that allowed you to view your Gmail account offline. The app was meant for Chrome alone, and all other browsers were pretty much left out. What’s more, the app wasn’t a backup solution. BackUp Gmail is a Mac app available for $1.99 in the Mac App Store that allows you to back up all email messages in your Gmail account to anywhere on your hard drive. The app is nothing more than a downloader for all your inbox messages. You can set up a regular time interval for when the app will back up messages, or enter a given time when the app will perform a backup daily. The messages are readable in Apple’s default mail client, and not encrypted in any way. It works for both Gmail and Google Apps accounts.

When you first launch the app, it will add the Gmail mail envelope icon to the System Menu Bar. As long as you have not added an account to the app, the icon will be greyed out. To add an account, click the icon and select Open BackUp Gmail Preferences… From the Account tab in preferences, enter your Google email (complete with @example.com) and your password. Click Check Availability and the app will check if the credentials you’ve entered are correct. If both email and password are correct, a notification window will pop up to confirm it. Notice that the app icon will no longer be greyed out after an account has been added.

From the Folder tab, select where the app should backup emails to. The app will create a folder by the name of FileStore at that location when it takes a backup for the first time, and all subsequent backups will be saved to this folder. To set a regular time interval for backups, or to fix a time for a daily backup, go to the Schedule tab. From the Backup Time dropdown, select SetTime if you want to take backup once every day, and enter a time in the Start On field. If you want to take hourly backups, select Every Hour from the dropdown.

The force the app to take a backup, right-click the app icon in the System Menu Bar and select Make backup now.

Email messages are saved with the date and message number appended to the file name, as well the as the sender’s email address. You can double click a message and it will open in Apple Mail, regardless of whether or not you’ve added an account to it. Before you start using this app, understand two things; first, it does save your account and password locally, and anyone who has access to your Mac can force the app to take a backup to any location on your Mac. Secondly, the backups can be opened by anyone, and unless you save them to a folder or drive that you can lock, they are pretty much there for anyone to read. The point of this app is to download the contents of your inbox – protecting those is your responsibility.

The whole Gmail app for iOS scenario has finally reached its climax (hopefully) as the app was re-released a few hours back, claiming to have fixed all the issues that caused Google to pull it from the App Store some days ago. This app comes with features not available in the Gmail setup in the stock Mail.app. You get just about all of the Gmail features you enjoy on the web and desktop version of the email service, and once you start using it on your iPhone or iPad, it will most likely become your first choice for checking your Gmail messages.

To start using the app, the first step is to set up your account. After you have signed in, you are taken straight to your Gmail inbox. In the iPad variant of the app, the last mail you received is opened by default on the right of this screen and on the left side, there is a bar listing all the items in the current folder.

To bring up the menu, you can either tap the Menu button at the top-left corner of your screen or in the iPad version, simply swipe the page to the right and the menu bar will appear on the very left of the screen.

The app also supports badge notifications for new messages you receive, and of course, the much-publicized push notifications that seemed to have issues in the initial release have been fixed as well. Unfortunately, the notification system is not integrated with the Notification Center in iOS 5; something to look forward to in future updates.

Some people might argue that iOS has no need for a Gmail app as the integration with the Mail.app is pretty good, and if you don’t like that, you can simply open Gmail from Safari. So basically, it all comes down to preference. If you have a soft spot for good interfaces, the clients sleek interface might be just what you’re looking for. Also, it can’t hurt to give the app a try as it’s absolutely free.

However, before you download the app from the iTunes link given below, make sure you uninstall the previous version of the app (if you downloaded it during the short span of time it was available in the App Store a few days back). Google, or Gmail, specifically, offers its users over 7.5GB of storage space. For most of us, having this much storage capacity in our mailbox is useless, since emails are mostly in kilobytes. GMail Drive is a Shell Extension for Windows that creates a virtual file system around your Google Mail account. In addition to just being an email client, it allows you to use your Gmail account as a storage medium. Once installed, it creates a virtual drive inside Windows Explorer and enables you to create, copy and delete files and folders. When you upload a file to your Gmail account, the application will automatically generate an email with the file as an attachment. You can use GMail Drive to access and modify all the files uploaded from the application.

To begin with, install GMail Drive, and it will automatically create a virtual drive in your Windows Explorer. By default, the virtual drive is named “GMail Drive” and can be found under Computer in Windows Explorer.

When accessing the drive for the first time, you are required to log in with your Gmail account. Check Auto Login to prevent the application from nagging you for credentials in future sessions.

Once logged in, copying files and folders is just a matter of drag and drop. Drag the files you want to copy and drop them into the drive window. A pop up message will display the upload progress, and once it is complete, you will receive an email with the file as an attachment.

To avoid cluttering up your email, you can create a filter in your Gmail account to automatically move files with “GMAILFS” in their subject, to your archived mail folder. GMail Drive works on Windows XP, Windows Vista and Windows 7.

Copying multiple parts of text can be a big nuisance, especially if they’re spread apart over different sections of a page. Since the native clipboard holds only a single piece of data at any time, copying something will overwrite the previous text, and you will only be able to paste your last selection. MultiCopy Firefox add-on aims to change that by allowing you to copy multiple parts of text and paste them sequentially from one website to another. Hit the jump to find out more.

Once you have installed this Firefox add-on, copying any text from a webpage will save it to an internal clipboard, and you can paste that text in an orderly format. You may use the right-click context menu within Firefox to clear the multiple-copied text by selecting Clear MultiCopy contents, or you can Disable MultiCopy altogether.

Copying multiple elements of text is simple, utilizing the standard copy/paste methods. Once you have copied multiple selections of text from a particular website, all you need to do paste it in the desired location within the browser and your copying sequence will be followed when pasting. You can also choose to leave some space between different text selections.

MultiCopy is a simple idea that turns out to be a great time saver. Please note that this add-on has its own limitations, too. For one, since it’s a Firefox add-on, it works only within the browser. Second, your source and destination webpages need to be open within the same browser window, since MultiCopy will work across tabs but not different windows of Firefox.

Usually, most people use email clients such as MS Outlook and Mozilla Thunderbird to fully manage their online or exchange server accounts from the desktop. However, not everyone has requirements that may entail using a convoluted mail client. GFuwi is an application designed to be a minimalist replacement for your email client. It does not provide complete mail client functionality; rather, it serves as a quick mechanism for attaching any kind of document or file and send it using a Gmail account. GFuwi is a lightweight app which works with any program that supports sending attachments including MS Word, MS Excel, Adobe Reader, Open Office and several others.

To get started, click Add Account and enter Gmail account credentials. You do not require configuring any complex SMPT or POP3 settings. After you add an account, click Make Default option to set GFuwi as your default mail client. GFuwi has both a paid and free version, with the free version being limited to a single account. An upgrade to the paid version will let you add unlimited number of accounts (worth $15).

Once done, you will be able to send any document using GFuwi by sending the file via Windows’ Send to option.

Alternatively, you can use the built in attach and send functionality of the respective application.

This will open a new window with the attached document where you can compose your email. GFuwi automatically detects your Gmail contacts and provides suggestions for recipients from your Gmail contact list. The mail composing options are as rich as the Gmail default interface.

During testing, we found the GFuwi memory stamp to be approximately 8 MB. This is a lot less than MS Outlook, which can consume up to 54 MB of system memory. Hence, GFuwi can be used by people who do not wish to use resource-intensive mail clients and would like to send attachments without having to visit Gmail via a web browser. Having your email contacts available offline can be immensely useful; whether you need them to compose an email offline or just to look up an address or phone number, an offline address book that allows you to access contacts normally stored in your email account can’t hurt to have around. Address Book I Need is a Chrome application that syncs your Gmail contacts and makes them available even when you’re offline. You can organize the contacts in to different groups, add contacts offline and sync them to Gmail when you go online.

Once installed, the application serves as an offline address book until you sync it with all your Gmail contacts. To sync contacts, sign in to Gmail by clicking Login. If you’re already signed in to Gmail, you will only have to authorize the application to connect and pull information from your Gmail account. Click Sync from Gmail to import all Gmail contacts in to the app. Click Sync to Gmail to export contacts to Gmail. The application can also import contacts from a CSV file by clicking File Import.

To add a contact, scroll down to Contact Details and add a contact name, email address etc., and click Save.

To create a group, type the group’s name in the input field provided at the bottom of the Groups panel on the left. Click Save to save the group, to rename a group, select it from the panel and edit its name from the same field. To delete a group, select it and click Delete. To add a contact to a group, select the contact from the contacts’ list and the group you want to add it to from the group panel. Details of the contact will be populated in the Contact Details area, select Insert in selected group and the contact will be added to the group you selected. To remove a contact from a group, select it and click Unlink group from the contact details panel.

Since the app syncs contacts both online and offline (two way sync) the contacts you add while offline and later sync to you Gmail account are available no matter what device you access them from. It also imports contacts from CSV files which means you can import contacts from any email service that lets you save/backup contacts in this format and sync them to Gmail.

The extension also allows you to import contact details from your Facebook account, however, you will have to make a donation to the developer in order to upgrade and use the feature.

When you receive an attachment in Gmail you have the option to either download it or view it in your browser/Google Docs (where the format is supported). The view option is convenient if you would rather read a document and see if it’s important before saving it to your hard drive but lets say you don’t have time to view a document and don’t want to save it to your hard drive either. The simple answer would be to get back to that email later when you have time, alternatively, you can save it to Google Docs so you don’t have to skim through your email and find it again. Gmail Attachments To Docs is a Chrome extension that lets you save attachments directly to Google Docs without viewing or downloading them. Attachments are sent directly from the Gmail interface.

Once installed, refresh your Gmail tab, an option to Save to Docs will appear between the View and Download options next to each attached file. Click the option and the file will automatically save to Google Docs. Documents are saved one by one and cannot be saved in bulk.

A new tab will open telling you your file has been saved to Google Docs. The file is saved with the same name as it came with in the attachment and the name of the sender is not appended to the file name.

The extension is particularly useful if you want to share multiple attachments with someone but don’t have time to forward each email (and consequentially clutter someone’s inbox). You can save different files to Google Docs and share them in bulk with anyone you want.

As a word processor, one of the greatest things about MS Word is that it fixes your typos and grammar automatically, as a browser, the great thing about Chrome is spell check (Internet Explorer 10 might have an edge over it though) and of course, Gmail too saves you from coming off as a bad speller. The point is, all these spell checking and grammar correcting features save our skin, they’ve been covering our hides so long we’ve become bad spellers and we love them for it. So, Gmail is naturally great because it tells you when you’ve misspelled a word but what it doesn’t do is auto correct your typos. ezAutoCorrect for GMail is a Chrome extension that auto corrects select typos as you type in Gmail.

To get a better sense of how this extension works, open MS word, type teh (typo for The) and press the spacebar, it is automatically corrected to The. Now imagine this happening in Gmail, that’s what this extension does. It runs quietly and unobtrusively in the background and fixes those little mistakes you make as you type. As opposed to having to right-click a misspelled word and choosing the right one from the context menu, this extension will automatically correct the words when you hit the space bar.

The list of typos (which aren’t listed anywhere) are, for now, hard coded (i.e., you get what you get). It corrects words like teh to The, yuo to You, dont to Don’t and i to I. The slight short coming with the extension is that you can’t add your own customized corrections. The developer has promised to add the feature if the extension is deemed useful by users, i.e. shown some love. I personally found it amazing and will be sending the developer a cake in hopes that it’ll get that feature implemented sooner.

Even if it doesn’t correct all the typos you make, it corrects some of them and there is no harm in having it run in the background.

gm-notify (Gmail Notifier) is a lightweight app-indicator for Ubuntu which integrates with the system tray to provide Gmail notifications. gm-notify is designed to utilize notify-osd and indicator-applet to deliver seamless integration and bubble message pop-ups. Hence, it works quite well for the newer versions of Ubuntu such as 10.10 and 11.04. What makes gm-notify better than other applications of its kind (such as the previously reviewed CheckGmail) is that it uses Canonical’s notify-osd on-screen-display notification agent, with semi-transparent click-through bubbles. Notify OSD presents these notifications as ephemeral overlays, which can be clicked through to avoid obstruction during work.

Ubuntu 10.10 and 11.04 users can install gm-notify from the Ubuntu Software Center; the Launchpad package (link given at end of this post) or by entering the following command in the Terminal.

As mentioned by the developer, gm-notify will not run on very old Ubuntu systems. However, Ubuntu 10.04 users can install gm-notify from the below PPA:

Once installed, launch gm-notify from the Unity Dash and login with your Gmail credentials.

Ever send off a fiery email, felt great for a few minutes about how you ‘really showed that guy you meant business’ but later regretted it because your work either got stuck in the pipeline or resulted in Email Combat – Battle Till The Last Word? It can happen and needless to say communication doesn’t make much allowance for how you feel. Staying as passive as you can ensures your actual message can get across and not be misunderstood. ToneCheck is a web service that came out recently with a Chrome extension ToneCheck for Gmail beta. It currently supports Gmail and highlights words or phrases that may appear to be in an alarming or offensive tone to the recipient and may result in your message being interpreted the wrong way.

Connect with ToneCheck using your Google ID after installing the extension. The extension works as a Chrome background app and integrates its features in the Gmail compose mail interface. It analyses the text that you type and based on the sensitivity level that you’ve set, it alerts you of the ‘Tone’ of your message. It adds a small panel just below the email body.

Five small vertical bars indicate if the tone is too emotional by turning red. Clicking the dropdown arrow next to the bars expands the panel to list all words or phrases that make you come off as too emotional and also rate what kind of emotion they communicate. The extension was tested by using excerpts from Clients from hell at a normal level of sensitivity. It aptly detects when a phrase comes on too strongly but sadly it doesn’t detect stupidity which is why ‘Do the CSI thing and say ‘enhance.’ That should do it’ wasn’t picked up.

To edit the extension’s settings, click the ToneCheck icon next to your Google ID in the Google bar. From the Settings tab, you can enter sentences to ignore and control what kind of alert you get. You can set tone sensitivity levels from the sensitivity tab.

The extension can also start picking up on how you normally write and warn you if you’ve written an email where you don’t sound quite like yourself. The extension doesn’t just pick up on words or phrases that are clearly offensive and/or rude but also looks at your usage frequency of ordinary words, for example, if you use No and Nothing excessively, it will pick it up and inform you that your tone might be inappropriate.

Koush, best known for developing the famous Clockworkmod Recovery for Android, has decided to try his hand at the remote messaging app genre. The developer has conceived an app that pushes all your incoming SMS to your Google account (Gmail and/or Google Talk). DeskSMS is a handy little app that allows you to receive and reply to your text messages from your mail client. With DeskSMS, you can receive your text messages as an email or in the form of chat messages in Google Talk. The replies however are sent as text messages only and not as an email. The app comes with a home screen widget that can be used to toggle sending/receiving messages on Gmail, Google Talk or both. More after the break.

How would you reply to all your text messages while you are checking mails from your colleagues on your notebook and your phone is being charged in the other room? That is where DeskSMS comes in. The app is fairly simple to set up and use. Just feed in your mail account, select from Gmail and/or Google Talk services to receive all the messages and you’re done! All the incoming text messages would now be pushed to the selected service(s). You can easily reply to your messages through email. Replied messages are sent back as text messages to the same phone number. Therefore, the recipient needn’t be connected to the internet.

Usability of DeskSMS can be maximized through the app’s widget that allows quick enabling/disabling of message reception on Gmail and Google Talk. To add DeskSMS widget, long press on vacant area on your home screen, select Widgets > DeskSMS Widget.

We tested the app on an HTC Desire (running MIUI) and Desire Z (running CyanogenMod 7) and found it to respond promptly, without any unwanted skips or long delays. However, the Send Test Message button in the app failed to operate on both devices.

Given it’s just a beta and among first-of-its-kind in the Android arena, DeskSMS justifies its worth quite commendably. DeskSMS is available for free in the Android Market and requires Android 2.2 or higher to run.

Instead of installing previously featured Mailbox, Facebox, and Twitter Desktop separately on your Mac to access Gmail, Facebook and Twitter from system menu bar, you can use recently released Social Lite for Mac. The application has a smart tab-based UI, allowing you to check and compose mails, view Facebook wall, and interact with your peeps on Twitter, all from the menu bar. Unlike previously covered tools, Social Lite is a lot more dynamic application in terms of the way it interacts with users. A small notification system has also been incorporated to keep users updated about new incoming mails, Facebook wall posts, and Twitter timeline.

Additionally, you can tailor the user interface to keep only few social media services in the menu bar. For instance, if you want to access only Facebook and Gmail, open Preferences and uncheck Twitter from the service list. Similarly, notifications settings can also be changed. By default, it shows notifications for only active service tab, however, you can enable show notifications for all active/inactive services as well.

When you’ve got an unread message on any of activated services, you will see a small new message icon over the respective service tab. However, if menulet is not opened, it shows notifications about the update on the desktop.

The Settings menu lets you open the Preferences window where you can enable/disable services, change notification options and icon, and view pre-configured hotkey combinations to open the menulet.

Attachments are those extremely important things that are too easily lost and very difficult to find and even built-in email search isn’t as effective as it should be. Attachments.me is a service that makes it easy to track down your email attachments; it lets you search attachments in you Gmail and Yahoo mail accounts, it searches your Facebook and Twitter stream for images, audio, video, documents, news, events and code. You can download items directly, share them on email, Twitter, Facebook or Dropbox.

The service is extremely simple to use; start off by adding all the accounts you want to pull attachments from, you can add multiple Gmail, Yahoo, Twitter, Facebook and Dropbox accounts. To start searching for an attachment, type in a part of the file name that you remember, choose which account you want to search in and pick the file type from the drop down menu. By default, the service searches all accounts that you’ve added and all types of file attachments for the term you’ve entered.

The service lets you add two types of accounts; Inbound and Outbound. Inbound accounts are the ones you can search attachments from and Outbound ones are the accounts you can forward attachments to.

To send an attachment to your Dropbox account, mouse over it, click the share icon and choose Dropbox from the menu. The attachment will be added to your Dropbox account.

You can also download or preview the attachments. Mouse over the thumbnail preview of any attachment and click the eye icon to preview a file (not all formats are supported for preview) or click the Download icon to download the file. You can also remove a file from showing up in your attachment preview by deleting it. The file isn’t removed from you email account, it just no longer appears in your search.

The more the emails in your account, the longer it takes for the service to ‘Crawl’ it, and load all attachments. If you receive a lot of images as email attachments, this can be a great way of going though all of them without opening multiple email messages.
