Mostly, users do0n’t take out time to organize their downloaded files, and the main Downloads folder becomes cluttered with a lot of different files. aiFILE is a organization application for Windows that allows you to easily move and copy files to different locations. The application allows you to set schedules for transferring or copying files from one folder to another on a regular basis. It can be extremely useful if you receive multiple files from different sources at regular intervals. You can just set schedules to automatically organize them in folders for easy access and identification. aiFILE lets you create multiple schedules, and specify different source and destination folders for different tasks. During installation, you will be prompted to enter the License Key, but the text file containing the Serial Code is provided by the developer in the downloaded ZIP, and can be copied to the aiFILE setup.

The main interface of the application has File, Settings and Reports buttons at the top, while Source Folder, Destination folder, Move Files, Copy Files and Start options appear below.

Click File and select New Task to create schedules for transferring files from different source to destination locations at regular intervals. It allows you to set Daily, Weekly and Monthly schedules, and define the time for running the task.

The Schedule Editor accessible by selecting Scheduled Task under Settings enables you to add new tasks and modify existing ones, while paths of default source and destination folders can be changed from Paths under Settings.

aiFILE lacks the ability to define specific types of files to copy or move from folders, something that can make the application a lot more useful. aiFILE works on Windows XP, Windows Vista and Windows 7.

Whether you take a ton of photos, or just have a really huge collection that is difficult to sort through when you need to find something, you’re in dire need of an easier way to do it. Sparkbox is a Mac app worth $19.99 (currently free for 24 hours), that helps you sort images, allowing you to tag them, organize them in to folders, rate them, favorite them and search through various image by the amount of a particular color in an image. The app lets you create smart folders, which are, in fact, smart filters for your images. All images are saved to the app’s library, and are separate from the originals, which means that even if you delete an image from the app, the original will still be intact.

Launch the app and start adding/importing images to it by dragging & dropping either a folder or an image file onto the left panel. The left panel consists of the folders you’ve added with the number of images in each. Images that are added on their own, i.e., not in a folder, appear under Uncategorized images. From the top bar, you can switch between different views, i.e., Category, Tags or Favorites. The Colors tab lets you search images by color, and the Websnap tab lets you import entire webpages by simply entering the URL.

You can add a simple folder or a Smart folder, which isn’t limited to just being a folder, and can also be a filter criteria. To add a new folder, click the plus sign at the bottom left of the app window (what’s perplexing at the moment is how to delete a smart folder). An ordinary folder is added instantly, with only the need to edit the default name. When you add a smart folder, you will have to pick one or more criteria for it from those listed in the dropdown.

To add tags to an image and rate it, click add tags just below an image and add the desired ones separated by commas. Click one of the five dots below an image to rate it, and the heart icon next to the image name to mark it as a favorite.

To search an image by the amount of a particular color in it, like how much green or blue is in an image, go to the Colors tab and select a color from the bar at the top. You can select how much the color in the image can vary from the selected color (read: different shades), and how much that particular color should be present in an image, from the cog wheel at the right of the color bar. Move the knobs on the slider to increase or decrease the level of Color Variance and Color Minimum.

The app also lets you import an entre web page as an image from the Websnap tab. Click the Thumb button in the URL bar and select which types of images you want to import from the web page. Enter a URL and hit Return. Once the page has loaded, click the camera button next to the URL bar, and the app will snap the site, saving it to its library.

The app is, no doubt, a great way to sort images, and an even better one for searching them. If you ever forget the name of an image, but remember what colors were in it, searching for it can be a whole lot easier.

If you’re a Mac lover, then it is highly unlikely that you envy a Windows PC over its features, and even if you did, there is probably an app that will get you those very features on your Mac, no questions asked. Mac users may or may not know what features are in in Windows 7, but for those who don’t, an extremely handy feature, known as Aero Snap, allows you (in addition to other things) to snap windows to any side of your screen by dragging it to the corner, and to minimize all windows except one by selecting and shaking it. iSnap is a Mac app that gives you this very same functionality; the app comes bundled with iShake which mimics the Aero Shake feature in Windows 7 , and normally costs $4.99, but is free for a limited time.

If you’ve ever tried your hand at a Windows PC, then you might know how Snap works, but for those who don’t, you will simply have to select a window and drag it to one of four corners or one of the four sides of the display. A small transparent outline will appear, showing you that the window has snapped to the side and you can release it.

To minimize all windows in the background and keep only the active one visible, grab a window and shake it. Compared to the Aero Shake feature in Windows 7, you might have to shake a window much longer, but it, nevertheless, does the trick. Once the windows are minimized, shake the window again, and all minimized windows will be restored in the background.

Oddly enough, the app works on all app windows, but won’t work with either Firefox or Chrome windows, i.e., you can’t snap them to the side, or shake them to minimize other windows in the background. You can, however, use the app’s keyboard shortcuts, and they will work on both these browsers.

To define which areas a window can be snapped to, i.e., the snap to regions, go to the app’s preferences, and select one of three layouts for snap to regions. From the same window, you can also set the app to start at login.

If you’ve never used or heard of this feature, then you might think it isn’t that useful, but if you often have multiple windows open across multiple desktop spaces and would like to quickly clean up the clutter or organize windows, then this is worth a try.

With every new release of the Windows operating system came along a lot of changes in its interface. One of the most important menus, the Windows Start Menu, has also gone through a lot of UI changes over the years. When you install the application and launch Start Menu 7, the first thing you will notice is that the menu is semi-transparent. The Options button in the bottom-right corner provides configuration parameters such as Menu, Wizard, Skin, Change size of menu etc.

Some notable additions that Start Menu 7 brings to the table are alphabetical sorting of contents, separate quick start and autorun tabs for applications, a customizable power options panel, as well as Power Timer, that can delay any of Windows’ power management settings. If you love having the apps on your Android device nicely organized, then you must’ve liked recently reviewed App Man – a free, comprehensive app management tool for Android. New to the Android Market, A-WAL provides you with yet another handy alternative to organizing your apps, allowing you to launch them via customizable, category-based homescreen widgets. Apart from sporting a neatly-designed and nifty little app launcher, A-Wal lets you decorate your homescreen with customizable widgets, each containing a group of apps of your choice. The app bases its design around tiles slightly reminiscent of the Windows Phone 7 metro UI. You can easily circle through and launch your favorite apps from within these widgets. Details to follow.

There are a couple of distinct ways to utilize the app’s functionality. You can either use it as a standalone app launcher, or avail the homescreen widgets that it has to offer. If you wish to take the former route, just launch the app, and start filling its homescreen with folders containing apps of your choice. To do so, hit Menu > New Folder. The screen that follows lets you name the created folder and add apps to it by tapping the plus (+) icon.

Each added app appears as a separate tile under its parent folder. The bottom of each tile bears the app’s name, tapping which takes you to its Android Market page, and a small square icon that lets you select a poster (image) for the tile. You can choose to use the official poster of the app from the Android Market (if there is one available), pick an image from your device’s gallery, grab a fresh one, or stick with the default poster.

The three buttons appearing at the right side of each tile can be used to position it on the list or remove it entirely. The option to save folder settings appears at the very end of the list of apps, right below a couple of customization options that allow you to change the tile background and font color.

Long-press a folder on the app’s homescreen to Edit or Delete it.

The only annoying aspect of an otherwise promising app is the dissociation between its app launcher and widgets. Simply put, A-Wal currently does not let you use the folders you create for the app launcher as homescreen widgets, nor does it display widgets as separate folders within the launcher. For each widget that you wish to add to your homescreen, you have to go through the entire tedious process of filling it with apps right from scratch. This shouldn’t be too much of an issue if you only wish to use the homescreen widgets. Hopefully, future updates will add the option to use folders from the app launcher as widgets (and vice versa).

For an app that is relatively fresh to the Market, and excels in looks and functionality, users might ignore any minor shortcomings.

iTunes Genius is feature that introduced automatic playlist creation based on moods and genres from existing library. It creates playlists of complementary songs that will sound good together. Today, we found another application that performs the same job for Windows, Android and iOS. Moodagent, as the name suggests, is a music profiling agent that sorts your music library according to different moods. The desktop application of moodagent automatically analyzes the specific moods of each track in your music library, and creates a profile of tracks with similar musical characteristics. You can then sync the profile with your moodagent Android or iOS app, and the tracks will be added to their respective profiles.

To start, first choose the music library that contains the music that you have on your mobile device by clicking Add music files button.

Once the files are added to the application, click Start Profiling to start the identification process. The Status panel will show you the status of files including Profiled, Unprofiled and Errors. Click Open Detailed View button at the right side to get a detailed view off all the music files.

Now, open the Moodagent Android app (there’s an iOS version as well), select the Settings menu and tap Sync music library available at the top to sync music profiles created on your computer with your Android device. The mood profiles include Sensual, Tender, Happy, Angry and Tempo.

Over time, MS Outlook archive can become difficult to manage as a single file (such as a single PST archive file). In such a case, it can be quite convenient if the archive can be split and renamed in a yearly manner. Since PST files contain data on your hard drive which may have been removed from the mail server (such as an Exchange Server), therefore, messing with the PST file manually can result in permanent data loss.

MailScavator is a handy application that helps manipulate the MS Outlook PST file. It converts any PST archive into multiple files sorted according to year. With the help of this tool, you can rename your file with a name such as “example 2008.pst”, making it easier to organize and manage.

To begin, select an Outlook profile, then go to Select PSTs to search/manage profile option and chose PST file(s) to search.

Once done, head over to the Results go here tab, and select a folder to place the new PST files in. You may also add a base file name, e.g., AddictiveTips Archive, and enable splitting of the archive by size and date.

Optionally, you can filter the search criteria (from Search Criteria tab). The available filters include date, sender, receiver and messages.  Finally, go to Search tab, select Move or Copy (from Operation drop-down menu) and click Start. As you can see in the screenshot below, the archive is being copied to a defined destination folder.

The copied files will be arranged according to year, and split according to date and size (if the splitting option is enabled).

Back in March, we covered a music organizer, called, Mp3 Folder Structure Maker, which creates folder structure for music albums by reading full meta tag information. The only downside of this application is that it requires user to set up different tag related options each time before creating folder hierarchy for music tracks. bliss is freshly developed music organizer which provides somewhat similar functionality but in an automated way. bliss is programmed to consistently observe your music files to apply folder structure related rules as soon as you update your music library. This saves you from the hassle of launching an application, specifying the newly added tracks in order to create folder structures. Apart from reading tag information to create folder structures for music albums, you can also create rules to add, change and resize cover art, automatically fill missing information, and organize genres.

Being an unobtrusive application, it works silently from system tray. Unlike other music organizers, it runs from local webserver (localhost), therefore, you can organize your music collection and create rules from remote systems as well. From system tray, you can check current activity and view music collection by artist and album name. When you run it for the first time, it asks you to specify music collection source path. In order to create rules for adding cover arts, overwrite existing cover arts, filling missing information, like year of release, genre, etc, select respective rule category from Configure rules.

You can view music collection by artist and album name from system tray. You can check current files/folders being process through Activity option. When you click Album, it will show all previously categorized albums in default browser.

In short, bliss will assist those audiophiles who hate organizing their music collection manually, as it works silently without disrupting users at any stage of organizing their music collection. Picasa is a great photo organizing tool, some might disagree. If you are using Windows OS, then Windows Live Photo Gallery is also a good alternative. But there is one software that has recently grabbed my attention, it is a free opensource photo organizing tool called My Photo Index. It is a simple-yet-powerful photo organizing too that is both flexible and easy-to-use.

You can import the pictures from your hard drive or a digital camera and organize them according to their categories and tags. You can also rate the pictures, which can help in distinguishing between professional and amateur photos.

You can set privacy, add/remove tags, print, share, set as desktop wallpaper, open containing folder, rotate an image and much more with a simple right-click.

You can increase/decrease size of the images simply by moving the slider, to make searching easier, you can search your photos by name, tag, etc with a build-in search engine. You can also search for photos between any two dates, which if you ask me is totally awesome.

Press F11 or go to View > Full screen to view your photos in full screen slideshow.

Press Ctrl+Shift+S or go to Images > Share for uploading your pictures to photo sharing sites such as Facebook , Flickr, etc.

ThumbWin gives your minimized windows more visual information than miniMIZE. It supports Windows Vista unlike miniMIZE and also gives an option of exclusion list, so that you can disable applications that you do not want to minimize as thumbnails onto the desktop.

It also supports hotkey, arrangement method and thumbnail size but one niche feature is its fade in/ fade out effect. When a running program has been minimized to desktop as thumbnail, moving your mouse over to the thumbnail will make the image fade-in/out, which looks great.

It only makes thumbnails if you minimize applications one at a time suppose if you hit the show desktop button, no thumbnails will be created because it is necessary to actually minimize the application to make it list as thumbnails. The utility is highly customizable, letting you change the thumbnail dimensions and layout.

If you have a huge library of musics organizing those collections can be difficult. Using the built-in tools of Windows Media Player you can make the task much simpler. Microsoft Windows Media Player does more than just play. Windows users can use it to import their CD collection into digital music files, burn audio CDs, and organize their music collection by generating playlists and adding album art. One of Winodws Media Player 11′s strengths is in organizing music by album; it’s simply faster than iTunes(sorry Apple fanboys but this point is true). And browsing albums by cover is, well, fun. Combine it with Vista’s search technology, which is built in to the player, and you can cue up any album just by typing in the first few letters in the Search box and then clicking on the familiar album cover.

To begin with, we’ll start by setting up our options in Media Player. Most of the options are already setup the way I like it.  We just need to make a couple of adjustments. Click on the ‘More Options’ under the Library tab.

In the Library tab make sure the settings match the ones in the screenshot below.

Once we’ve saved those settings, our next task will be to add some MP3s to our music collection. Download some of your favorites and place them in the ‘My Music’ folder if you’re using Windows XP or the ‘Music’ folder if you’re using Vista. If you’re having trouble finding it, the easiest way is to click Start > Music.

You can also add destinations of other folders where you usually place your media content. In the Library tab click on Add to Library option to add your particular music folder.

After you have at least one MP3 file, drag & drop it into one of your music folder. Doing this serves two benefits. Not only will it auto categorize it and sort it in the Music folder, but it will also cause Windows Media Player to add it. It does this by monitoring certain folders for new files.

Once you dragged it, Windows Media Player added it to the Library. Not only that, but it also tried searching for the correct information based off of the ID3 tag as well as the filename using Internet. As you can see from the figure to your left, it gave me the album art as well as the full details for that album.

The following steps are only needed if Windows Media Player did not automatically find the album information as it did in the last example. For this, you would need to visit the Library and find the song in your library. Once found, right-click on it and select Find Album Info as illustrated below.

Now you’ll be using keywords such as the artist, album and track names to search for the right information. To find what I wanted I typed in "Craig David". If you are unsure about if the album you found is the correct one, you can click on the ‘More’ link below the album and it will give you a full track-listing of the selected one.

In this way all your music files will be organized automatically by windows media player if your songs have correct album and artist info. It’s actually much easier once you learn the process. If you have any additional pointers, please let us know by posting a comment.
