How to troubleshoot a printer for basic problems
Printer troubleshooting is something most users will need to do at some point. Printer technology hasn’t improved much — we have 3D printers, but their development hasn’t made using a normal home printer any easier. A print job is still handled more or less the same way as it was a decade ago, and common problems with printers haven’t changed much either.
Diagnose First: Windows Printer Troubleshooter and a Test Page
Before diving into hardware checks or driver reinstalls, run a quick diagnostic to pinpoint whether the fault lies with the printer itself, Windows, or the connection between the two. This saves a lot of time and trial and error.
Run the built-in Windows printer troubleshooter
Windows includes an automated troubleshooter that catches the most common printer problems — wrong default printer, stalled queues, and driver issues — in seconds.
Windows 11:
- Open the Settings app and go to System.
- Select Troubleshoot, then Other troubleshooters.
- Find Printer in the list and click Run.
- Follow the on-screen prompts and apply any fixes it suggests.
Windows 10:
- Open Settings and go to Update & Security.
- Select Troubleshoot, then Additional troubleshooters.
- Click Printer and then Run the troubleshooter.
Print a test page
A test page is the fastest way to separate a printer problem from a Windows or software problem.
From Windows:
- Open Settings and go to Bluetooth & devices > Printers & scanners (Windows 11) or Devices > Printers & scanners (Windows 10).
- Select your printer and click Printer properties.
- On the General tab, click Print Test Page.
From the printer’s control panel: Many printers have a dedicated button or menu option to print a self-test page without involving the PC at all. Check your printer’s manual for the exact steps.
How to interpret the result
Use the test page outcome to decide where to focus next:
- Test page prints successfully from Windows: The printer and its connection to the PC are working. The problem is most likely a stalled print queue, a driver conflict, or an issue within the application you’re printing from. Jump to the print queue and spooler section below.
- Printer prints its own self-test page but not from Windows: The hardware is basically healthy. The fault is in the driver or the Windows-to-printer communication. Try reinstalling the printer (see section 6 below).
- Test page is blank, faded, or streaky: The printer is mechanically working but has an ink, toner, or printhead problem. See the print quality section further below.
- No test page prints at all: Focus on power, cables, and hardware first — work through sections 1 through 5 below before touching software.
Printer Troubleshooting: Basic Fixes
A printer that won’t work normally appears as an offline printer. It is installed on your system but is not currently available to receive a print job. Your system can’t ‘see’ it, though if it were to become available, you could send a print job to it right away without installing drivers or setting the printer up again.
The problem may be caused by your printer, or it may be something to do with your system. This printer troubleshooting guide targets the printer itself for the most part, with a few software and OS-related fixes included. If you need more detailed guidance on how to fix an offline printer, there are additional troubleshooting steps you can try.
1. Check printer-ready state
Inspect your printer; it will normally have a light that indicates it is ready to receive a print job. If the light isn’t on, there is a problem with your printer. Run the following checks:
- Make sure the paper tray is loaded and the paper is pushed all the way back so that the printer’s sensor can tell there is paper in the tray.
- Make sure all panels are closed and nothing is partially open. Thoroughly inspect the printer to make sure no door is even slightly open.
- Check that no hardware component is missing; a printer has lots of small parts on its exterior, and if one of them is missing or not installed correctly, the printer will not be ready to receive a print job.
- Check if there’s a button on the printer that gets it working; normally when you turn a printer on, you will hear it warming up the toner. This is an indication that the printer is working.
- Check for blinking lights on the printer; they indicate that something is wrong with it, e.g., a panel is open, the paper is stuck, the printer is out of ink, etc.
- Some printers have an on-board button that can print a test page. If your printer does, press it to see if a test page prints successfully.
2. Inspect printer cables
Make sure the printer’s cables are connected securely. Inspect them for damage, such as a frayed cable or rust on the connection points. Try changing the cable that connects the printer to your Windows 10 system, as a faulty cable is a surprisingly common cause of printer troubleshooting issues.
3. Check printer On/Off switch
Some printers have a physical On/Off switch. It should normally be located near where the power cable connects to the printer, but inspect the entire device to see if there is one. Make sure it is turned on before proceeding with any further steps.
4. Clean the printer
Use a soft cloth to clean the printer. For hard-to-reach places, try using a hairdryer on low settings to blow dust away with cool air. If a printer’s sensors are blocked by dust, it may not enter its ready state and will appear offline, or a light on it may continue to blink to indicate a problem.
5. Check for paper jams
Check for paper jams and remove any paper that you find lodged inside. A paper jam isn’t always easy to fix, so consult your printer’s manual to see which panels can be opened to remove stuck paper. Remember that an entire sheet of paper isn’t required to jam a printer — a small torn piece left inside will cause just as much of a problem.
6. Uninstall and reinstall printer
Uninstalling and reinstalling a printer can often solve the offline printer problem. It will also help determine if the printer is being detected at all by your system. According to Microsoft’s official support documentation, reinstalling the printer driver is one of the most effective steps in printer troubleshooting.
- Open the Settings app.
- Go to Devices.
- Select Printers and scanners.
- Go through the list of installed printers and select the one you’re trying to print with.
- Click Remove device.
- Disconnect the printer from your system.
- Unplug the printer from the power source.
- Wait a few minutes and plug the printer into a power source again.
- Connect the printer to your system.
- Windows 10 will detect and install drivers for it.
- Try to print something.
7. Restart app
If you’ve found the printer tray wasn’t loaded correctly, or a panel on it was open, and the problem has been fixed, you should also restart the app you’re using to send a print job. The app may not be able to proactively detect the change in the printer’s ready state, so a fresh restart ensures it picks up the updated status.
8. Change USB port
If your printer connects via USB, plug it directly into a standard USB data port on the computer rather than going through a USB hub or docking station — hubs can cause intermittent detection issues. Also try swapping to a different known-good USB cable, since a faulty cable is a common culprit. If your printer uses a USB-C connection, make sure the cable you’re using supports data transfer and not just charging. Then try each available USB port on the PC to see if one works better than another.
Clear Stuck Print Jobs, Set the Correct Printer, and Restart the Print Spooler
If the printer is powered on and connected but nothing is coming out, the problem is often in Windows rather than in the hardware itself. A single stuck job in the print queue can silently block every job queued behind it, making the printer appear broken when it is perfectly fine.
Clear the print queue
- Open Settings > Bluetooth & devices > Printers & scanners (Windows 11) or Settings > Devices > Printers & scanners (Windows 10).
- Select your printer and click Open print queue.
- Right-click any job listed and select Cancel. Repeat until the queue is empty.
Set the correct default printer
- In Printers & scanners, select your printer.
- Click Set as default. If Windows is managing the default printer automatically, you may need to turn off that option first — it is in Printers & scanners settings at the bottom of the page.
Turn off “Use Printer Offline” if it is enabled
- Open the print queue for your printer (as above).
- Click the Printer menu at the top of the queue window.
- If Use Printer Offline has a checkmark next to it, click it to uncheck and disable it.
Restart the Print Spooler service
The Print Spooler is the Windows service that manages all print jobs. If it crashes or gets stuck, restarting it clears the backlog without requiring a full PC reboot.
- Press Windows + R, type services.msc, and press Enter.
- Scroll down to Print Spooler in the list.
- Right-click it and select Restart.
- Once it restarts, try sending your print job again.
Troubleshoot Wireless, Network, and Bluetooth Printers
Most home printers today connect over Wi-Fi rather than USB, and a printer that appears offline is often simply a printer with a lost network connection. The hardware may be completely healthy — the issue is just that Windows can no longer find it on the network.
Check the printer’s Wi-Fi status
- Look at the Wi-Fi or network indicator light on the printer. A solid light usually means it is connected; a blinking or absent light means it has lost its connection.
- On printers with a display, navigate to the network or wireless settings menu to confirm which network it is joined to and whether it shows a valid IP address.
- Many printers can print their own network configuration page from the settings menu or a button combination — this page lists the IP address, SSID, and connection status, which is extremely useful for diagnosing the issue.
Make sure the printer and PC are on the same network
- Confirm that both the printer and the PC are connected to the same Wi-Fi network name (SSID). If your router broadcasts separate 2.4 GHz and 5 GHz networks with different names, one device may be on each band, which prevents them from seeing each other.
- Avoid connecting the printer to a guest network — guest networks are typically isolated from the main network, so the PC cannot communicate with the printer.
- If you use a Wi-Fi extender or mesh node, be aware that some extenders place devices on a separate subnet. If the printer connects through an extender and the PC connects through the main router, they may not be able to communicate. Try connecting both to the same access point.
Rerun the printer’s wireless setup wizard
- Use the printer’s control panel or display to navigate to the wireless or network setup menu and run the wireless setup wizard again.
- Select your home network, enter the Wi-Fi password, and allow the printer to reconnect.
Restart devices in the correct order
- For network-related printer problems, the order of restarting matters. Turn off the printer first, then restart the router, then restart the PC, and finally power the printer back on. This ensures the printer obtains a fresh network lease.
Bluetooth printer troubleshooting
- If your printer connects via Bluetooth, make sure Bluetooth is enabled on both the printer and the PC.
- Remove the printer from the PC’s Bluetooth device list and pair it again from scratch.
- Keep the PC and printer within a short distance of each other during pairing and printing, as Bluetooth range is limited and interference from other devices can cause dropouts.
Fix Blank Pages and Print Quality Problems
If the printer is printing but the output is wrong — blank pages, streaks, missing colors, faded text, or blurry images — the problem is not a connection or driver issue. It almost always points to ink, toner, or the printhead. Here is how to work through it systematically.
Blank pages
- Open your printer’s utility software (usually found in the Start menu or Control Panel under your printer’s brand name) and check the actual ink or toner levels. Low ink is the most common cause of blank output.
- Remove the ink cartridge or toner cartridge and reseat it firmly. A cartridge that is not fully clicked into place will not feed ink correctly.
- If you have just installed a new cartridge, check that you removed the protective tape or plastic film from the cartridge contacts and nozzle area before installing it. Leaving the tape on is a very common oversight.
Streaks, missing colors, and faded prints
- Run the printhead cleaning utility from your printer’s software or from the printer’s own control panel menu. This purges dried ink from the nozzles. Note that cleaning cycles use a small amount of ink, so only repeat them as often as the manufacturer recommends — usually no more than two or three cycles before pausing.
- After cleaning, print a nozzle check pattern (available in most printer utilities) to see which nozzles are blocked. This tells you whether the cleaning worked or whether the cartridge needs replacing.
- For laser printers producing streaks or uneven coverage, try gently rocking the toner cartridge side to side to redistribute the toner evenly, then reinstall it.
Blurry text or misaligned output
- Run the printhead alignment tool from your printer’s utility software. Misalignment is common after installing a new cartridge and produces text that looks doubled or slightly blurred.
- Check the paper type setting in your print dialog. Printing on plain paper while the driver is set to photo paper, or vice versa, can produce soft, smeared, or over-inked output.
Printer Troubleshooting: Final Tips
Printers, regardless of make and model, tend to run into problems now and then. Consistent printer troubleshooting habits can help prevent many of these issues before they become serious. If you use an inkjet printer, occasional use helps prevent nozzle clogs — or you can run the manufacturer-recommended maintenance cycle if the printer has been sitting idle for a long time. Laser printers are less sensitive to inactivity, but they do benefit from proper storage, using the correct paper type, and keeping toner cartridges within their rated service life. You should also keep the printer’s manual on hand — it will help you fix jams and identify other hardware problems quickly.
A good thing before is to reboot Windows or if you are a little bit technical run an elevated prompt and write the command
“Net stop spooler” Wait for it to execute and then write
“Net start spooler”.
