How to create Microsoft Teams meeting notes

Microsoft Teams has a sophisticated closed-captioning system and it also a transcript feature that works if you have Microsoft Voice enabled for a team. Between two features, you don’t necessarily need to manually record what is said in a meeting however, a transcript isn’t the same as notes.

Meeting notes are highlights of a meeting. Closed captions and transcripts are useful, especially if you need to go back and check what was or wasn’t said during a meeting, but they can’t be used as a stand-in for long meetings. They’re an excellent tool to help users write better, more accurate notes for a meeting but meeting notes are still more useful.

Microsoft Teams has a meeting notes feature. You can use it once you’ve scheduled a meeting and add an agenda or talking points to a meeting. You can also use it when you’re in a meeting. Whenever a crucial item is discussed or something important is decided, a note can be made directly in Microsoft Teams. The note is then available to everyone who attended the meeting.

Create Microsoft Teams meeting notes 

To create Microsoft Teams meeting notes once a meeting has started, follow these steps.

  1. Join or start a meeting.
  2. Click the more options button on the top bar. 
  3. Select Meeting notes.

  1. In the column on the right, click Take Notes.
  2. You will switch to the main Microsoft Teams window and the Meeting Notes tab for the meeting channel will be selected.
  3. Click Add a new section and start typing.

Note: If you’ve enabled new meeting experiences, the notes open in the main Microsoft Teams window but if you haven’t, enabled new meeting experiences, the notes will open in the panel on the right.

To add notes to a scheduled meeting i.e, one that hasn’t started yet, follow these steps.

  1. Open Microsoft Teams.
  2. Go to the Calendar.
  3. Select the meeting and click ‘Chat with participants’.
  4. Start adding notes.

Note: if you scheduled a meeting directly in a channel, you won’t see the ‘Chat with participants’ option.

Conclusion

The meeting notes are visible to everyone and once a meeting has ended, they are automatically posted as a link to the channel the meeting was in. The notes can be accessed from the Meeting Notes tab. If you have recurring meetings in a channel, the notes will all be added to one note. Each meeting will have its own section but users are free to add additional sections whenever they need to.
