How to get a Microsoft Teams meeting link

When a Microsoft Teams meeting is active or scheduled, you can invite others to it by sharing a link to the meeting. The link can be used to invite team members, guests, and external users to the meeting.

When a meeting is scheduled or started, Microsoft Teams will generally show you a link that you can copy and share with others so they can join the meeting. This link disappears once a meeting starts or has been scheduled but it can be recalled.

Get Microsoft teams meeting link

To get a Microsoft Teams meeting link, you must meet one of the following requirements.

  • Be the person who has scheduled it.
  • Be part of a channel that the meeting is in.
  • Be part of an on-going meeting to get a link to it.

A meeting link can be copied from both the desktop/web and the mobile apps on your phone.

Microsoft Teams Meeting link – On-going meeting

To get a link to a Microsoft Teams meeting that is currently in progress, follow these steps.

  1. Open Microsoft Teams on the desktop.
  2. Join the meeting.
  3. Click the more options button (three dots) at the top right.
  4. Select Meeting Details.
  5. Click Copy join info.
  6. Paste the copied text in an email or messaging app to share the link.

On mobile

  1. Open the Microsoft Teams app on your phone.
  2. Start a meeting.
  3. Tap Share meeting invite.
  4. Select an app to share the invite from or copy it to the clipboard.

Note: On mobile, you can only get a meeting invite as long as there are no other participants in the meeting. As soon as someone else joins the meeting, the Share meeting invite button disappears and cannot be accessed again.

Microsoft Teams Meeting link – Scheduled meeting in channel

These steps are applicable for an Enterprise licensed Microsoft Teams user.

  1. Open Microsoft Teams.
  2. Schedule a meeting and save/share it to the channel.
  3. Go to the Channel the meeting has been posted to.
  4. Click the more options button at the right end of the meeting invite.
  5. Click View Meeting Details.
  6. Copy the meeting details that contain the joining information. 

On your phone;

  1. Open Microsoft Teams.
  2. Go to the channel the scheduled meeting has been shared to.
  3. Tap the more options button (three dots button) on the meeting.
  4. Tap Copy link from the menu.

Microsoft Teams Meeting link – Scheduled meeting in Calendar

You can also go to the Calendar app and copy a Microsoft Teams meeting link for a scheduled meeting.

  1. Open Microsoft Teams.
  2. Go to the Calendar tab.
  3. Scroll to the scheduled meeting.
  4. Click Edit.
  5. Copy the meeting details from the meeting’s body.

Note: a scheduled meeting will not show up for all team members in their calendar unless the Exchange calendar has been set up for the team.

Microsoft Teams Meeting link – Scheduled meeting (Free)

If you’re using Microsoft Teams for free, follow these steps to get a link to a scheduled meeting.

  1. Open Microsoft Teams.
  2. Go to the Meetings tab.
  3. Click Schedule a meeting.
  4. Set a time and date for the meeting.
  5. Click Schedule. 
  6. Copy the meeting link from the on-screen pop-up.
  7. To retrieve the link later, go to the Meetings tab.
  8. Click the Copy invite button for a meeting.

Note: The invite can only be copied by the user who scheduled the meeting since the Meeting calendar is not going to be shared with other team members.

Conclusion 

To make sharing a scheduled meeting easier, you should ask your teams’ admin to set up the Exchange calendar. It will add a scheduled meeting to every team member’s calendar. If you do not have it set up, the link will have to be shared by team members via the channel it was posted in. The channel method works but if there are one too many posts in a channel, the meeting can get lost in all of it.
